Job file connecting a customer conversation, a home, the crew van and the final paperwork

Your business
mapped first.
Then built around.

Before anything is built, we map how work actually moves through your business: how enquiries come in, how quotes go out, how jobs get booked and where the office loses hours. Then the systems and marketing are built to suit, and run for you every month.

Map it. Build it.
Then keep it running.

Here's how the first month runs, week by week. After that, everything is run and improved for you, one step at a time.

  1. Week 1

    Map the business

An hour with you and whoever runs the office. We follow a recent job from the first enquiry to the final payment and note where the time goes: typing things twice, chasing customers, waiting on paperwork, enquiries that go cold.

You get a one-page map of your business and the one job costing you the most.

  2. Week 1

    Agree the build

We decide what gets automated, what Cumhacht runs for you, such as ads, replies, follow-ups and reminders, and what still needs a person.

You stay in control. Nothing goes to a customer until you've approved how it works.

  3. Weeks 2 and 3

    Build and test

The systems and marketing are set up around the tools you already use, then tested on real examples from your own jobs before anything goes live.

No new software to learn unless it saves more time than it costs.

  4. Week 4

    Go live and compare

It goes live, the office gets a short walkthrough, and we compare against week 1 to see what it's actually saving.

Your call. If it isn't taking work off the office by now, you can stop there.

  5. Every month after

    Run and improve

Everything that's live is run and looked after. Fixes are picked up within one working day, and one more improvement goes live each month.

    A 30-minute review each month: what's live, what it's saving, what's next.

What the map
looks like.

For example, a windows and doors business with two crews and one person in the office. At every stage we ask the same three things: where the work comes from, who handles it, and where it stalls.

Fix order

  1. Month 1Quote follow-ups go out automatically. Anything needing a call goes to the owner.
  2. Month 2Evening enquiries answered in minutes, callbacks booked.
  3. Month 3Deposit reminders and booking texts.
  4. Month 4Job sheets on the crew's phones.

Systems and marketing,
fitted to how you work.

Depending on the map, that can be ads and enquiry handling, quote follow-ups, job sheets for the crew, or the paperwork checks before an invoice goes out. Here are two from the windows job above.

The job goes
with the crew.

Before the van leaves, everyone knows what is needed.

The office checks the accepted quote, deposit, materials and access before booking the crew. Reminders run to the schedule you agree.

The crew opens the same job for the instructions, documents and dates. Updates from site come back to the office on that record.

Your stages, required documents and approval responsibilities are agreed before we build. Where a grant applies, its paperwork and dates are tracked at the relevant stage.

Thinking of taking on
someone for the office?

Map the work first. A lot of what fills the day can run on its own: replies, reminders, follow-ups and paperwork checks. What's left is the work that needs a person, and that makes a far clearer job for whoever you hire, if you still need to.

Who it suits

Owner-led businesses of roughly 5 to 40 people, with crews or vans on the road and an office that's stretched.

  • Installers
  • Servicing and maintenance
  • Inspection and testing
  • Plant and tool hire
  • Supply and fit
  • Electrical, plumbing and heating
  • Windows, doors and insulation
  • Drainage and wastewater

What it takes
from you.

Not much. The whole point is to take work off the office, not give it another job.

What we need from you

One person in the office as the main contact, access to the email, website and software the work touches, and a quick yes or no on anything customer-facing before it goes live.

Time: about an hour in week 1, 30 minutes a week for the rest of the first month, then 30 minutes a month.
What you can expect

Everything that's live is run and looked after. Fixes and small changes are picked up within one working day, and one more improvement goes live every month.

Software subscriptions and ad spend are paid by you directly, so you always own the accounts.
If you want to stop

Month to month, with no long contract. If it isn't taking work off the office by the end of the first month, you can stop there.

Your data and accounts stay yours. If you finish, everything is handed over properly so nothing breaks.

No setup fee.
Month to month.

The monthly scope is agreed around your business and reviewed with you as it changes. Start with one recent job and we'll map it together.
